How to Find Educational Entities

Entity Keys

If you know the Administrative Unit Number (AUN) or the School/Branch number of the entity you wish to find, enter the number directly and click on the Search button. 

Entity Name and Address

Use this section if you wish to search by current name, historical name, city, county, Intermediate Unit (IU), or open or closed status.  (Note:  Historical name data only exists from year 2001 and forward.)

When entering current name, historical name, or city, it is only necessary to key a portion of what you are looking for.  Case is not important.

To select a specific county or IU, click on the down arrow and use the scroll bar to find the desired selection in the dropdown list.  Keying the first letter of the county name or IU name will position the list at the first entry beginning with that letter.

Status defaults to all entities that are currently open.  However, the EdNA database includes closed entities for historical purposes.  To access these, simply click the closed box.

If more than one search field is used, the “AND” logic is applied (versus the “OR” logic). Example: If the Current Name criteria is filled with North and the county of York is selected, the system will search for all entities that have a name containing North and are in York county.

Select Administrator

Use this section if you wish to search by administrator last name.  When entering the last name, it is only necessary to key a portion of the name you are looking for.  Case is not important.

The type of administrator defaults to chief or no administrator.  If you are searching by administrator name, this setting and the chief administrator only setting will have the same results – only chief administrators for each entity will be searched.  If you check all administrators, all administrators for an entity will be searched.

If you are not searching by administrator name, the default setting of chief or no administrator returns all selected entities and their chief administrators, even when the administrator is blank (administrator information is not maintained for every entity category in EdNA).  If chief administrator only is selected, only entities that have chief administrator information in EdNA will be returned.  If the all administrators option is selected, entities having multiple administrators will appear several times, once for each different administrator that they have.

Select Categories

Use this section if you wish to search within certain categories of educational entities.  Selecting a category is not required, but it could help narrow your search.  If you do not select a category, the default is all categories.

Each entity in EdNA belongs to at least one category.  These categories are grouped by Institution categories, Public School categories, and Higher Education categories.  Selecting the All box for one of these groups results in every category in that group being checked automatically.  Unless you have selected other search criteria in addition to category, checking one or more of the All boxes will result in a large number of entities being returned.

To narrow your search, one or more categories in one or more groups can be selected.  When selecting multiple categories, the “OR” logic is applied.  For example, if you select school district and state university, you will get back a list of entities that are either school districts or state universities.  That is, you will get back a list of all school districts and all state universities.  Likewise, if you select charter schools and regular elementary, you will get back a list of all charter schools and all elementary schools.  If you would like to see a list of all elementary charter schools, check out the EdNA public schools report instead.

Submit

Search button – Submits the search criteria entered above and returns the Educational Entity Search Results screen.  From there, you can select on the desired entity to view more details.  If you wish to change the order of the Entity Search Results screen, simply click on the appropriate column heading.  (For example, clicking on the Administrator column will display the entities in order by administrator last name.)

Refresh button – Clears out all entered search criteria.

Tips

Clicking on Bottom takes you directly to screen bottom, where the Search and Refresh buttons are.

Clicking on Top takes you directly to screen top.

Pressing Enter is the same as clicking on the Search button.
